Keeping your documents in date

What happens when an expiry date nears, passes or falls before a shift ends, and how to renew.

The short answer

Gaffr offers you a shift only if your right to work, photo ID and insurance cover it until it ends. Insurance is approved with its expiry date. Gaffr Live tells you 30 days before a date. Gaffr pauses your account if your right to work or insurance passes its date. If a document runs out on a shift you've booked, Gaffr's team is alerted. They sort it out with you and the client. Nothing is cancelled automatically.

Which documents have an expiry date?

You don't type a date yourself. A person at Gaffr records it when they approve the document.

  • Insurance. A person at Gaffr approves a certificate only with the expiry date on it.
  • Right to work. Gaffr checks it again, usually every six months, so it carries a date too.
  • Photo ID and licences. They carry a date only if Gaffr recorded one. With no date, there's nothing to run out.

Settings, Documents shows each date, like "Expires 1 Mar 2027." A date counts to the end of that day. A document dated 31 March covers a shift that ends by midnight that night.

What happens as a date gets close?

  • 30 days before, Gaffr Live sends you a notification: "Document expiring". Tapping it opens the document, so you can upload the renewed one.
  • When a right-to-work or insurance date passes, your account pauses and you can't go live. Gaffr Live sends "You can't go live".
  • When a replacement is approved, the pause lifts overnight.

Which shifts can I be offered?

Offers check your documents against the end of the shift, not only today. A shift 10 days away needs documents that last past it. For a booking that starts straight away, Gaffr allows extra time for finding someone and travelling.

Gaffr checks again when you accept. If a document runs out first, Gaffr Live says: "Your public liability insurance runs out before this shift ends. Renew it in Settings, Documents: once it's approved, you can take this if it's still open."

It says the same for your right-to-work document and photo ID. If a document is why a booking near you wasn't offered, "Work you weren't offered" says so.

What if a document runs out after I've booked a shift?

Gaffr's team is alerted. They sort it out with you and the client. Nothing is cancelled, released or charged automatically.

A renewal that covers the shift, once approved, leaves nothing to sort out.

What if a client asks me to stay longer?

A client can ask for more time during a shift. If a document would run out before the new end, Gaffr Live says: "Your public liability insurance runs out before this shift would end, so you can't stay on. Renew it in Settings, Documents. The client's been told."

The client is told you can't stay on, not why. Extending a shift has the detail.

How do I renew a document?

In Gaffr Live, open Settings, Documents and tap the document. Replace lets you send a new file: JPEG, PNG, HEIC or PDF, up to 10 MB.

A person at Gaffr checks it. The document reads "Waiting for review" until they have. Once it's approved, Gaffr records the new expiry date.

What if a date is missing or wrong?

You can't change a date yourself. Each document's page in Settings, Documents has an email address for questions about it. A person at Gaffr can add a missing date or correct a wrong one.

Gaffr doesn't send a notification when it adds or corrects a date. It's worth checking the document's page afterwards.
