The short answer
In either app, Settings has a button to ask for a copy of everything Gaffr holds on you. A person at Gaffr prepares it and emails it to you. Delete account starts a 14-day countdown, and signing back in cancels it. Deleting removes your account and most of what's linked to it. Gaffr keeps the records the law requires, such as tax and payment records.
How do I get a copy of my data?
Open Settings. In Gaffr Live, tap Request my data. In the Gaffr app, tap Your data, then Request my data.
A person at Gaffr prepares a copy and emails it to you. The apps say within 14 days. The legal limit is one month. Using the right is free, and Gaffr may ask you to prove who you are first.
The law behind it is the right of access: GOV.UK explains how a subject access request works.
What's in the copy?
In outline, it holds what Gaffr keeps about you. Where a record involves another person, they appear as OTHER_PARTY. Gaffr's team appears as GAFFR.
- Your account details: your name, contact details and settings.
- Your bookings, shown from your side.
- Your pay and payouts, if you're crew. Your charges and cancellation fees, if you're a client.
- Ratings you wrote, and ratings about you once they're showing and not hidden.
- Every conversation you're in, with every message.
- The notifications Gaffr sent you.
- For crew, your documents: every one you uploaded, declined and replaced ones included. Each comes with its details, its history and any expiry-date changes, with the reason.
- For crew, whether a National Insurance number is on file, but not the number.
- For crew, where you went live, your share link's daily counts, incident reports and counter offers.
- Whether deleting your account would keep a record for HMRC, or for paid bookings. It says what that holds, why, and until when.
What isn't in the copy?
The copy doesn't cover everything. It holds the details of your documents, not the files themselves. The privacy notice lists what it leaves out. Ask, and Gaffr sends those too.
How do I delete my account?
Open Settings, then Delete account, in either app. The app says: "We delete your account 14 days after you ask. Until it goes, sign back in and you can keep it."
After the 14 days, Gaffr deletes your account. Crew lose their documents and files, bank details and National Insurance number. They also lose their rates, offers, location history and invite. Ratings you wrote go too.
Clients lose their sign-in, profile and saved cards, and any bookings crew never took. Open requests nobody has taken are cancelled at once, free, and their card holds released. Shifts crew have already accepted still go ahead and are charged.
You can also ask under Your data with Request erasure. A person at Gaffr reviews it and starts the same 14-day deletion.
What does Gaffr keep after I delete?
Records the law requires. The right to have your data deleted doesn't reach those: the ICO explains the limits.
- Payment records. Payouts, charges and the bookings they belong to stay, with your name taken off them.
- A record for HMRC, if Gaffr has paid you. It holds your name, home address and date of birth. It also holds your National Insurance number and UTR, if you gave them. And it holds what Gaffr paid you each calendar year. Nothing else goes with it: no email, phone, photo, bank details or location.
- How long the HMRC record stays. Five years from the end of the last calendar year Gaffr paid you in, then it's deleted. GOV.UK explains HMRC's platform reporting rules. Why Gaffr asks for your National Insurance number has more.
- Tax and accounting records. Kept for six years.
- Bookings crew accepted, for clients. Gaffr keeps the booking and payment records the law requires, for seven years. They don't carry your name, contact details or the venue address.
- For crew, shifts you worked. Each shift, what Gaffr paid you, and the ratings and reports others left about it stay. They're no longer linked to your account.
The privacy notice lists the few other records that stay.
When does deletion wait?
Gaffr waits while any of these is still open:
- pay you're owed, or a cancellation fee owed to you that's still being collected
- an invoice Gaffr sent you to recover money
- a Stripe payout account that Stripe won't close, usually because of a balance or an open dispute
- for clients, a booking that's still running, or a payment, dispute or question about one that isn't settled
Still owed for a shift? Gaffr pays you first, then deletes.
How long does Gaffr keep other things?
Some things go on a timer even while your account is open. Where you were when you went live is kept 30 days after that day. The privacy notice lists each period.
What else can I ask for?
You can ask Gaffr to correct what the app doesn't let you change. You can object to something Gaffr does with your data. You can ask for a person to review a decision the system made. Email hello@gaffr.uk. If you're unhappy with the answer, you can complain to the ICO.
